1. About this Statement

This statement explains what personal information Auxtech Enterprises Ltd. (“we”, “us”) collects through www.auxtechs.com (the “Site”), how we use it, and the choices you have. We aim to follow Canadian privacy law (including PIPEDA and applicable provincial laws) and applicable US state privacy laws.

This policy covers the Site only. Information we handle while providing services to our clients is governed by our agreements with those clients.

2. What we collect

Information you give us

When you use the contact form, we collect the details you choose to provide, typically your name, email address, phone number (if you give it), company name, and your message.

When you visit the Site, our hosting or analytics tools may record technical information such as your IP address, browser type, device, pages viewed, and referring website. We use cookies or similar technologies for this purpose. See Section 7.

Client portal

The client portal is operated by Autotask.net, a Kaseya company, a third party. When you log in or submit a ticket, the provider processes your account details and ticket content under its own privacy policy. We receive the information in your tickets so that we can respond to your request.

What we do not collect through the Site

We do not host or store our clients’ production data through the Site. Client data stays in each client’s own system and is accessed by us only as needed to provide agreed services.

3. How we use your information

We use personal information to:

  • Respond to your enquiries and start a conversation about our services.
  • Provide support to clients through the portal.
  • Keep the Site secure and working properly.
  • Understand how the Site is used so we can improve it.
  • Meet our legal and regulatory obligations.

We do not sell your personal information, and we do not use it for automated decision-making.

4. Consent

By submitting the contact form or using the portal, you consent to our collecting and using your information as described in this policy. You can withdraw your consent at any time by contacting us (see Section 10), subject to legal and contractual limits. Withdrawing consent may mean we cannot continue to respond to you or provide portal access.

5. Who we share it with

We share personal information only where needed:

  • Service providers that help us run our business, such as website hosting, email, our CRM or ticketing tools etc. They may use the information only to provide services to us.
  • Legal and safety reasons, where required by law, court order, or to protect our rights, our users, or the security of our systems.
  • Business changes, such as a merger or sale, where information may be transferred as part of the transaction.

6. Where your information is stored

Our service providers are based in Canada and the United States, so your information may be processed and stored in either country. Laws in those countries may differ from the laws where you live, and your information may be accessible to courts or authorities there in accordance with their laws.

7. Cookies and analytics

The Site uses cookies and similar tools to measure traffic through various analytics tools. You can block or delete cookies in your browser settings, though some features may not work as intended.

8. Keeping your information

We keep personal information only as long as needed for the purposes in this policy or as the law requires.

9. Security

We use reasonable administrative, technical, and organizational safeguards to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach creates a real risk of significant harm to you, we will notify you and the relevant authorities as the law requires.

10. Your rights and contacting us

You may ask to access, correct, or delete the personal information we hold about you, or withdraw your consent. Depending on where you live (for example, Quebec or California), you may have additional rights, such as asking what we have collected about you or objecting to certain uses. We will respond within the time the law requires. You may also complain to the privacy regulator in your province or state, such as the Office of the Privacy Commissioner of Canada.

11. Marketing emails

We will send promotional emails only with your consent, and each one will include a way to unsubscribe. Replying to your own enquiry or sending service-related messages to clients is not marketing.

12. Children

The Site is for businesses and is not directed at children. We do not knowingly collect information from children.

13. Changes to this policy

We may update this policy from time to time. The “Last updated” date shows the latest version. If we make significant changes, we will post a notice on the Site.
